5 Cold Outreach Email Templates for New Business Leads (Copy & Paste)
The right email at the right time can turn a freshly filed business into a long-term customer. These five templates are built specifically for outreach to new business filings and have been tested across thousands of sends by EntityPing customers. Copy them, customize the bracketed fields, and start sending.
Before You Send: The Principles That Make These Work
These templates follow four principles that consistently produce high response rates when reaching out to newly filed businesses:
- Acknowledge the filing. Mentioning their specific business name and the fact that they recently filed immediately establishes relevance. It separates your email from the hundreds of generic marketing messages they'll receive.
- Lead with value, not a pitch. New business owners are overwhelmed. They respond to emails that help them, not emails that sell to them. Offer something useful before asking for anything.
- Keep it short. These founders are busy. The entire email should be readable in 30 seconds or less. No walls of text, no corporate jargon, no multi-paragraph company descriptions.
- Make the next step easy. Don't ask them to fill out a form, schedule a demo, or visit a website. Ask for a simple reply, offer to send something useful, or propose a brief call at their convenience.
Each template below includes a subject line, body, and notes on customization. The bracketed [variables] should be replaced with data from your lead CSV.
Template 1: Insurance Agent
Best for: Commercial insurance agents (general liability, workers' comp, commercial auto, BOP policies)
Hi [Owner First Name],
Congratulations on filing [Business Name]! Getting a new [LLC/Corp] off the ground is exciting, and I'm sure you've got a long to-do list right now.
One thing I wanted to flag: [State] requires [specific requirement, e.g., "workers' comp for businesses with 4+ employees" or "general liability before signing a commercial lease"]. A lot of new business owners don't realize this until a landlord or client asks for a certificate.
I work with a lot of new [industry, e.g., "construction companies" / "restaurants" / "service businesses"] in [area] and can usually turn around a quote in 24 hours. No obligation — just want to make sure you're covered before you need to be.
Would it be helpful if I sent over a quick breakdown of what coverage you'll likely need?
Best,
[Your Name]
[Your Agency] | [Phone]
Why this works: It leads with a compliance requirement the owner may not know about, positions you as helpful rather than salesy, and makes the next step a simple reply. Open rates for this template average 45-55%, with response rates around 12-18%.
Template 2: Marketing Agency
Best for: Web design, branding, SEO, and digital marketing agencies targeting new businesses that need an online presence
Hi [Owner First Name],
I noticed [Business Name] was recently registered in [State] — congrats on making it official!
I run a [web design / marketing / branding] studio that works specifically with new businesses in the [industry] space. A few things I've seen make the biggest difference in the first 90 days:
- Claiming your Google Business Profile (free, takes 10 minutes)
- Having a one-page website live before you start outreach
- Setting up basic local SEO so customers in [city/area] can find you
I put together a quick checklist for new [industry] businesses that covers all of this. Want me to send it over? No strings attached.
[Your Name]
[Your Agency] | [Website]
Why this works: It offers a free resource (the checklist) that genuinely helps the business owner, regardless of whether they ever hire you. The checklist becomes a conversation starter that leads naturally into a discussion about their marketing needs. This template sees 40-50% open rates and 10-14% response rates.

Best for: Office supplies, equipment, uniforms, packaging, signage, or any company selling physical products to businesses
Hi [Owner First Name],
I saw that [Business Name] recently filed in [State] — congrats! The setup phase is always hectic, so I'll keep this short.
We supply [product type, e.g., "commercial-grade packaging materials" / "custom business signage" / "uniforms and branded apparel"] to [industry] businesses in [area]. A lot of our long-term customers first reached out to us when they were in the same stage you're in now.
We offer [specific offer, e.g., "free samples for new businesses" / "10% off your first order" / "a free design consultation for your signage"]. If you'll need [product type] as you get up and running, I'd love to be a resource.
Just reply to this email and I'll get you set up.

[Company] | [Phone]
Why this works: It acknowledges the setup phase, offers a tangible incentive (sample, discount, or consultation), and makes the ask as low-friction as possible: just reply. The tone is casual and helpful, not corporate. This template works best when paired with a specific offer relevant to the business type.
Template 4: Accountant / Bookkeeper
Best for: CPAs, bookkeepers, tax preparers, and fractional CFOs targeting new businesses that need financial infrastructure
Hi [Owner First Name],
Congratulations on forming [Business Name]. I wanted to reach out because there are a couple of time-sensitive tax decisions that new [LLC/Corp] owners often miss:
- S-Corp election (Form 2553) — If your [LLC] will earn over ~$40-50K in profit, electing S-Corp status can save you thousands in self-employment taxes. But the election needs to be filed within 75 days of formation.
- Accounting method selection — Cash vs. accrual basis. The right choice depends on your industry and revenue model, and it's much easier to set up correctly from day one than to switch later.
- Quarterly estimated taxes — If you expect to owe more than $1,000 in taxes, you'll need to make quarterly payments to avoid penalties.
I work with a lot of new businesses in [area/industry] and would be happy to do a quick 15-minute call to make sure you're set up correctly. No charge for the initial consultation.
Would any time this week work for a quick call?

[Firm Name] | [Phone]
Why this works: This template is one of the highest-converting in our set because it leads with genuinely urgent, time-sensitive information. The 75-day S-Corp election window is real, and most new LLC owners don't know about it. This positions the accountant as an expert who's looking out for the owner's interests. Response rates for this template run 15-22%, the highest of any vertical we've tested.
Template 5: General B2B
Best for: Any B2B service provider, SaaS company, consultant, or vendor that sells to small businesses. This is the all-purpose template that works across verticals.
Hi [Owner First Name],
Saw that [Business Name] just registered in [State] — congratulations! Starting a business is no small thing.
I'm reaching out because we help new [industry] businesses with [one-line description of what you do, e.g., "setting up their payment processing" / "finding their first commercial space" / "building a professional web presence"]. We work with a lot of companies in the early stages and understand the unique challenges of getting started.
Are you already set up with a [solution category, e.g., "payment processor" / "website" / "phone system"], or is that still on your list?
Either way, happy to be a resource if you have any questions.
[Your Name]
[Company] | [Phone]
Why this works: The closing question ("Are you already set up with X, or is that still on your list?") is the key move. It invites a simple reply, and regardless of whether the answer is "yes" or "not yet," you've started a conversation. This template averages 35-45% open rates and 8-12% response rates across industries.
Follow-Up Template (Use with Any of the Above)
Most responses come from follow-ups, not the first email. Here's a simple follow-up to send 3-4 days after the initial email.
Hi [Owner First Name],
Just following up on my note from [day]. I know you're probably deep in setup mode, so I'll keep this quick.
[One sentence of additional value, e.g., "I put together a short list of the 5 things every new LLC in Florida needs to do in the first 30 days — happy to send it over." / "Quick reminder that the S-Corp election deadline is 75 days from your filing date." / "I had a new client in a similar industry last month who saved 40% on their first order by going with our starter package."]
No pressure either way. Just want to make sure this doesn't fall through the cracks while you're getting everything set up.
[Your Name]
Key follow-up rules: Always reply to the same thread (use "Re:" in the subject). Keep it shorter than the original email. Add one new piece of value. Don't apologize for following up. Send a maximum of 3 follow-ups spaced 3-5 days apart.
Tips for Maximum Response Rates
- Send within 48 hours of the filing date. This is the single biggest factor in response rates. Same-day outreach gets 3-4x the response of outreach sent a week later.
- Personalize the subject line. Include the business name in the subject. It immediately signals this isn't a mass blast and increases open rates by 20-30%.
- Send from a personal email address. "john@youragency.com" performs significantly better than "sales@youragency.com" or "info@youragency.com". People respond to people.
- Keep the email under 150 words. Every word past 150 decreases your response rate. New business owners are scanning, not reading. Make your emails scannable.
- Test send times. Tuesday through Thursday, 8-10 AM local time, tends to perform best for B2B outreach. But test this with your audience. Some industries respond better to evening sends.
- Add your phone number. Including a phone number in your signature increases response rates even when people respond by email. It signals legitimacy and makes you feel more accessible.
